Intercampus Document Delivery Policy

Documents Included in this Policy

"Documents" in the context of this policy include journal articles, ERIC documents, books, theses, dissertations and videos. Older or rare books or items in non-print media may not be available. Availability of theses and dissertations is determined by the author and degree-granting institution. For more information, please see "What types of material can be borrowed?" on the Access page.

Who May Request Documents

Students currently registered in Aurora University courses not located on the campus in Aurora and faculty (regular or adjunct) connected with off-campus programs may request documents. Others are invited to submit requests through the normal ILL process or through their regular interlibrary loan providers, such as a local public library or college. Phone requests will not be accepted in order to minimize errors.

Submitting Requests

Requests should be submitted in writing using one of the following methods:

Requests must include the following information:

  • Requester's name, social security number, address, and phone number (e-mail address if possible)
  • Full citations, including author, title, journal title and issue number, and page numbers; publisher and date for books
  • Where the citation was found
  • Method of delivery preferred: US mail, fax

Number of Requests

While any number of requests may be submitted at a time, a maximum of 5 requests per person per day (or 100 pages) and 10 per week (or 200 pages) will be processed. If more than 5 requests are submitted at one time, they should be prioritized. These limits are established so that all requesters can get at least some of their materials.

Service Expectations

Requests may be submitted at any time, but will only be processed Monday through Friday. Material requested that is part of the AU collection will be sent from the Library within 24 hours on working days, barring any unforeseen difficulties. Material that is not available at AU will be requested from another source and could take 7-14 or more additional days to arrive. Speed of receipt will also depend on the method of delivery.

Copyright

The copyright law of the United States (Title 17. United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy/reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of fair use, that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgement, fulfillment of the order would involve violation of copyright law.

Costs

Off-Campus Cohort Students:

Except for the cost of getting the item(s) to you and back to the library, there is no charge for the inter-library loan of books. The cost of shipping the item(s) to you will be added to your student account. You are responsible for books until they are received in the Aurora University Library. Therefore, we recommend returning books via UPS or Federal Express, which have a tracking system.

On-Campus Students

Library staff will not make copies of items owned by the library; students must make their own copies of library materials. Books, photocopies of articles and prints from microforms received via inter-library loan will be held for pick-up at the circulation desk. We will attempt to telephone you when the item(s) arrive. If you do not hear from us after two weeks of making the request, please contact us to check the status of the request.

Additional Thoughts and Suggestions

  • Get to know the libraries in your area. If they have the material you need, you can get it faster and cheaper.
  • Unfamiliar with the area libraries? A list of libraries in the vicinity of AU's remote campuses is available.
  • Need help locating materials? Contact one of our librarians (or a librarian in your area) for assistance. Our staff phone numbers and email addresses are on the AU Library web page
