Assistant to the Executive Director of Music by the Lake

Aurora University is an independent, comprehensive institution founded in 1893 offering bachelor's, master's, and doctoral degrees. POSITION PURPOSE: The Assistant to the Executive Director of Music by the Lake in Williams Bay, WI supports learning by providing assistance and support for the summer music festival presenting eight musical performances from end the of June through the middle of August, as well as a holiday concert in December.

Essential Job Functions:
  1. Assistant reports directly to the Executive Director of Music by the Lake.
  2. Assists Executive Director in generating artists contracts including the special provisions appropriate to each artist and event. Helps to assure that contracts are fulfilled by the artist and entourage, as well as the University, as appropriate.
  3. Communicates with artists, agents, explaining and expediting contract provisions, special requirements based on the venue, and so on.
  4. Assists and supports the Executive Director in assuring smooth pre-event, event, and post-event process for artists and audience at all events, as directed.
  5. Assists in coordinating the "Hospitality" requirements of artists contracts; i.e. arranging special meals and housing of performers during the production period.
  6. Supports and gives general oversight as directed for delivery of costumes and props related to the production.
  7. Interfaces with summer intern or part time employees as needed and directed.
  8. Assists with scheduling of auditions, coordination of sets and rehearsals, as needed.
  9. Communicates with artists and agents, explaining and expediting contract provisions, special requirements based on venue, and so on.
  10. Interfaces with logistics, maintenance, security, conferencing and volunteer areas at Music by the Lake. Assures events go smoothly.

Essential Job Requirements:

Education: Bachelor's degree, preferably in arts/music/performance related field.
Experience: 
  • Arts administration experience preferred.
  • Experience with contracts and riders (especially artists contracts) preferred.
  • Knowledge of classical music (vocal and instrumental) a strong plus.
  • Experience in a multi-faceted office or theater environment.
Skills: 
  • Pleasant phone manner. Ability to interact by phone, in person and electronically.
  • Ability to work with artists, agents and coworkers with finesse, poise and confidence.
  • Capable of working independently and making decisions within the constructs of the position.
  • Must have knowledge of and ability to create documents with Microsoft Office Word, Excel, and Power Point.
 

Physical and Special Requirements: 

  • Able to move about a campus which includes hills and uneven surface.
  • Ability to work outside in various weather conditions during Music by the Lake (summer).
  • Must attend and assist with Saturday evening / Sunday afternoon performances from the end of  June through the middle of August (one performance each weekend).
